2023 Vanuatu Trip Itinerary for Hutt International Boys School

Our 2023 Hutt International Boys School Volunteer Build team will build a much needed school classroom for a rural school approximately 20 minutes drive from Port Vila.

The team will assemble at Wellington International Airport on Wednesday 28th June 2023 and fly to Port Vila via Auckland International Airport. A Volunteer Build team member will meet the team at Port Vila International Airport and transfer you to your accommodation. After an orientation day, the team will spend 5 days building. Sunday is a day off to explore more of Port Vila and the island of Efate. After the building dedication ceremony, the team will head out to Pele Island to visit a school where a 2018 HIBS Volunteer Build team has previously built a kindergarten, as well as having time to enjoy snorkeling, swimming and R & R. The team will return by boat and road back to Port Vila on Friday before departing on your flight back to Wellington on Saturday 8th of July 2023.

Each person contributes NZ$1,000 to fund the building materials the team will use on their build.

Vaccinations

You will need to consult your doctor, however common vaccinations required are Tetanus, Diphtheria, MMR, Hepatitis A, typhoid, flu vax, chicken pox (unless you have had it) and COVID-19. Dengue fever and malaria can be present at times in Vanuatu so discuss a management plan with your doctor that includes DEET-based repellent. Remember it’s not just you who needs protection – it’s the local kids and families you interact with as well. Your parents will be asked to sign a vaccination confirmation form for you before departure.

Visas

No visa required for Vanuatu for NZ passports however 6 months validity on your passport is required. If you hold another country’s passport, please check any entrance visa requirements as you may need to apply for a tourist visa in advance.

Travel insurance

Is compulsory and is included in your trip cost. Our group policy is underwritten by Covermore and includes special endorsements for coverage for volunteer building and some COVID 19 coverage. Some pre existing conditions are automatically covered, while others may require you to pay a surcharge over and above what’s included in your trip fee to get coverage.

Trip Guardians

HIBS teachers will be your trip guardians. Your parents will be required to sign Parental Consent documentation before departure.

Catering

All meals are included in the trip cost except for meals at Wellington, Auckland and Port Vila airports. Team members should bring an allowance for snacks and drinks.

2023 Vanuatu Hutt International Boys School Trip Agreement NOTE: By signing below, you are agreeing to abide by certain rules, and you are waiving certain legal rights. Please review the following language carefully, and make sure that you understand it, before signing. This Agreement is entered into on the day this form is submitted and received by Volunteer Build, by the undersigned individual (hereinafter referred to as “I” or “me”).For purposes of this Agreement, the “Applicant” has applied and been accepted to attend the Hutt International Boys School 2023 Vanuatu Volunteer Build Trip. The Applicant is the same person identified as “I” or “me” herein, except if the Applicant is a minor, in which case the undersigned person is the Applicant’s parent or legal guardian. The “Trip” identified herein is the 2023 Hutt International Boys School Vanuatu Volunteer Build Trip, to take place between Wednesday 28th June 2023 and Saturday 8th July 2023. “Volunteer Build” as defined herein, includes Break Free Expeditions Limited trading as Volunteer Build, its directors, officers, employees, and agents. I have read and understand all of the information provided in the trip application and this Agreement. The information I have provided to Volunteer Build is accurate and true to the best of my knowledge and belief. Provided that Volunteer Build and Hutt International Boys School agrees to permit the Applicant to attend the Trip, I agree as follows: I am a positive person and will be supportive of Volunteer Build and Hutt International Boys School in all circumstances. Travel insurance will be arranged through Volunteer Build (including coverage for building work that the Applicant will be undertaking in Vanuatu) for the Trip. The Applicant is in good health, and I will advise you of any disability and/or pre-existing medical condition (including any mental illness), and any special dietary requirements for the Applicant in a letter accompanying this Agreement. Failure to disclose pre-existing conditions may result in the exclusion of the Applicant at a later date with no refunds of monies paid by the Applicant. I agree to have all vaccinations required for this trip, and before departure will return to Volunteer Build and Hutt International Boys School the signed Vaccination Confirmation Sheet. Payments are non-returnable and non-transferable should the Applicant not attend the Trip. I grant to Volunteer Build and Hutt International Boys School, the right to use the Applicant’s picture, voice and/or testimony in any form of promotional or advertising materials. The Applicant shall abide fully by any country border control and customs requirements, and additional rules and requirements by other projects that we may visit. This includes but is not limited to giving consent for a Police Check to be undertaken whereby the information in this police report will be disclosed to Volunteer Build and Hutt International Boys School as it relates to the applicant and this application. The Applicant shall fully abide by all reasonable requirements and rules of Volunteer Build and Hutt International Boys School concerning the behaviour and conduct of the Applicant and all other persons on the Trip as they affect those persons on the Trip and the people of the country or countries the Trip visits. Volunteer Build and Hutt International Boys School may exclude the Applicant from the Trip and require the Applicant’s early return to New Zealand if satisfied on reasonable grounds that the Applicant’s misconduct or continual disobedience is a harmful or dangerous example to other persons on the Trip; or because of the Applicant’s behaviour, it is likely that the Applicant or any other person will be seriously harmed if the Applicant is not so excluded. The applicant’s parents & legal guardians shall be responsible for the costs associated with the Applicants early return and no refunds for the unused portion of the trip will be given. I acknowledge that all travel outside of New Zealand includes inherent risks, such as transportation failure, transportation accident, illness resulting from food-borne or water-borne pathogens, and even risks such as kidnapping or terrorism. Although Volunteer Build and Hutt International Boys School will take measures to avoid harm to the Applicant during the Trip, I acknowledge that Volunteer Build and Hutt International Boys School cannot and will not make any guarantees of the safety of Applicant or Applicant’s property. I release and agree to hold Volunteer Build and Hutt International Boys School harmless from all liability for harm to Applicant or Applicant’s personal property, resulting directly or indirectly from Applicant’s participation in the Trip, including but not limited to liability for harm or loss resulting from transportation failure, accident, illness, disease, kidnapping, terrorism, civil unrest or any other cause whatsoever, even if Volunteer Build or Hutt International Boys School is allegedly or actually negligent. Volunteer Build is not responsible for any additional costs which may be incurred by participants as a result of events which are beyond the company's control. This includes but is not limited to pandemic related costs not covered by the Applicants insurance, strikes, industrial action, weather or any other man-made or natural occurrence. Volunteer Build reserves the right to alter itineraries as and when necessary due to operational requirements, and to substitute comparable accommodation, transport and sightseeing services as necessary. Where a school trip is cancelled to a destination for reasons outside of Volunteer Build’s control, Volunteer Build will use best endeavours to source an alternative project and destination for the group within a similar budget and dates. All payments made by the school on behalf of individual participants are non-refundable at the time they are made; however in this instance payments made by the school for individuals to Volunteer Build, less any non-recoverable cancellation charges, can be transferred to offset the replacement destination costs provided that the Applicant attends the replacement trip. If the Applicant does not transfer to the replacement destination trip the monies paid on their behalf will be forfeited to Volunteer Build. I personally assume all risks and liabilities in connection with Applicant’s participation in the Trip and agree to indemnify Volunteer Build and Hutt International Boys School against any liability which might be assessed against them as a direct or indirect result of Applicant’s participation in the Trip. If the Applicant is injured during the Trip and I am unable at the time to authorize medical treatment, I hereby authorize dental, medical, or surgical treatment, including but not limited to the administration of X-rays, anesthetic, or anesthesia, by any medical professional chosen by Volunteer Build or Hutt International Boys School. I understand and agree that this consent is given to encourage Volunteer Build and Hutt International Boys School and said medical professional to exercise their best judgment as to such diagnosis or medical, dental, or surgical treatment. I personally assume the duty of payment of any physician, dentist, surgeon, hospital, clinic, or ambulance service and release Volunteer Build and Hutt International Boys School from any such duty of payment. In line with New Zealand Ministry of Health recommendations if I become sick within one month of arriving back in New Zealand, I will seek medical advice from a Doctor or by phoning the free Healthline on 0800 611 116. It is important to tell them you have been outside of New Zealand recently. This Agreement is governed by and is to be interpreted in accordance with the laws of New Zealand. All provisions in this Agreement limiting or excluding the liability of Volunteer Build shall apply to the extent permitted by New Zealand law. For the purposes of this trip, I have appointed a Trip Guardian for my child if that child is under the age of 18 at the time of the trip departure.
